Automatic (or small input) email filing system? Quite specific to our business setup

I work for a small consultancy in UK. Typically if a new job comes up we'll create a new project folder directory on our server (local in the office).

Email correspondence with the client is usually left on the main consultants pst file until it's printed and archived as a hard copy.

The problems with this are that it requires an awful lot of paper to print everything off. It's also difficult to help a client with their job if the main consultant isn't available as until the hard copy is filed we would have to access the consultant's emails. Not a great system in this sense.

Instead of printing out emails for hard copies that can be filed I've been trying to think of a way that would let us file emails on our server (not totally opposed to a cloud server though).

So far I've thought of creating an email account for each new job so that we can copy in all future emails and then anyone could access the emails from anywhere using webmail. The problems with this solution are that our webmail storage for each email hosted is small (<500mb) and that we currently don't have unlimited email account creation.

Do you think this solution is still worth pursuing or could anyone recommend another?
